You\u2019ve made it through another school year, and now it\u2019s almost time for the sigh of relief. But first, let\u2019s\u00a0wrap things up nicely and pave the way for next year\u2019s Google Classroom operations. Two birds, one rock, huh!\u00a0<\/p>\n\n\n\n<p>Like many of our customers, if you\u2019ve experienced an<a href=\"https:\/\/edtechmagazine.com\/k12\/article\/2021\/01\/how-k-12-schools-map-paths-effective-hybrid-learning\" target=\"_blank\" rel=\"noreferrer noopener\">&nbsp;<\/a><a href=\"https:\/\/gatlabs.com\/education\/blog\/online-teaching-guide-in-google-workspace\/\" target=\"_blank\" rel=\"noreferrer noopener\">increased reliance on Google Classroom<\/a>&nbsp;and EdTech tools, you may have a little more digital clutter to sort out.<\/p>\n\n\n\n<p>To help K-12 admins make end-of-year&nbsp;<a href=\"https:\/\/gatlabs.com\/education\/blog\/k-12-admins-ultimate-google-classroom-audit-checklist\/\" target=\"_blank\" rel=\"noreferrer noopener\">Google Classroom tasks<\/a>&nbsp;breezier, we\u2019ve created the list below.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-5-end-of-year-google-classroom-tasks-for-k12-admins\">5 End-of-Year Google Classroom Tasks for K12 Admins<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-transfer-google-classroom-ownership-first\">1. Transfer Google Classroom Ownership First<\/h3>\n\n\n\n<p>Transfer ownership of any Google Classrooms you\u2019d like to keep before deleting the teacher\u2019s account. That way, you\u2019ll retain these Classrooms without having them become a problem later on. This is important to prevent Orphaned Google Classrooms from happening when a teacher\u2019s account (owner account) is deleted, and its Classrooms are automatically left behind.<\/p>\n\n\n\n<p>These Classrooms then become \u2018student-owned\u2019 spaces where students can share unchecked content, have unmonitored conversations, etc.<\/p>\n\n\n\n<p><mark><strong>Best Practice:<\/strong>&nbsp;<\/mark>It\u2019s better to suspend leaving teachers\u2019 accounts (rather than delete them) at the end of the year. This gives you more time to check their owned Classes and transfer Google Classroom ownership more easily later on.<\/p>\n\n\n\n<p>SEE:&nbsp;<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/how-to-find-and-fix-orphaned-google-classrooms\/\" target=\"_blank\" rel=\"noreferrer noopener\">How to Find and Fix Orphaned Google Classrooms<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-2-find-and-archive-or-delete-unused-google-classrooms\">2. Find and Archive (or Delete) Unused Google Classrooms<\/h3>\n\n\n\n<p>Time to declutter.&nbsp;<\/p>\n\n\n\n<p>Start by running a complete scan of all Classrooms on your domain, then:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Review all active Google Classrooms and find those you believe are no longer needed, then archive them to make room for new ones.<\/li>\n\n\n\n<li>Check other Classes that may not be serving any purpose but still lie there idly on your domain, and delete them.<br><em>(These can include provisioned or unspecified Classrooms,\u00a0 Classrooms belonging to previous years, or Classrooms that haven\u2019t been used for a very long time.)<\/em><\/li>\n<\/ul>\n\n\n\n<p><strong><mark>Best Practice:<\/mark>&nbsp;<\/strong>Before archiving Classes at the end of the year, make sure to include the school year as part of the Class name (Ex: 21-2022-G9-Bio). This will help you easily identify archived Classes from year to year.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-3-pull-out-final-grades-and-performance-insights-nbsp\">3. Pull out Final Grades and Performance Insights&nbsp;<\/h3>\n\n\n\n<p>Now, let\u2019s handle those&nbsp;technical&nbsp;Google Classroom grading tasks.<\/p>\n\n\n\n<p>That may include manually exporting grades at your district or pulling out granular insight on Classwork, Class grades, assignments, etc.&nbsp;<\/p>\n\n\n\n<p>Taking care of these early on helps speed up things for your district and allows you to close up other pending Google Classroom tasks faster.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>GAT Tip:&nbsp;<\/strong>Use the&nbsp;<strong>Students Submission Summary tab<\/strong>&nbsp;in&nbsp;<strong><a href=\"https:\/\/gatlabs.com\/education\/solution\/classroom-management-for-google-workspace\/\" target=\"_blank\" rel=\"noreferrer noopener\">Classroom Insights<\/a>&nbsp;<\/strong>to see the overall grade for all assignments submitted for any particular Classroom. You can also check students\u2019 performance across all of their Google Classrooms from there.&nbsp;<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-4-audit-google-classroom-drive-folders\">4. Audit Google Classroom Drive Folders<\/h3>\n\n\n\n<p>With the amplified use of Google Classroom, it\u2019s not uncommon for associated Google Drive folders (auto-created by Classroom when a Class is added) to clutter up teachers\u2019 MyDrives.<\/p>\n\n\n\n<p>These folders contain all assignments created and materials uploaded by teachers, as well as any work turned in by students.&nbsp;<\/p>\n\n\n\n<p>While their Classes may have ended for the school year, these folders can become very valuable for teachers (especially new joiners) next year (serving as exemplary work).<\/p>\n\n\n\n<p>One good way to help teachers get rid of&nbsp;<a href=\"https:\/\/gatlabs.com\/blogpost\/5-steps-to-organise-your-google-drive\/\" target=\"_blank\" rel=\"noreferrer noopener\">Drive clutter<\/a>&nbsp;while preserving important files within these folders is by&nbsp;<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/how-to-transfer-ownership-of-google-drive-files\/\" target=\"_blank\" rel=\"noreferrer noopener\">transferring ownership of important files<\/a>&nbsp;and moving them to a Shared Drive on your domain.<\/p>\n\n\n\n<p>Afterward, teachers can choose to delete any remaining files or folders in their \u2018MyDrives\u2019 if they wish.<\/p>\n\n\n\n<p><mark>Best Practice:<\/mark>&nbsp;Ensure all student work is returned before archiving any Classroom. This will transfer ownership to students, and files won\u2019t clutter up teachers\u2019 Google Drives.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>GAT Tip:<\/strong>&nbsp;Use&nbsp;<a href=\"https:\/\/gatlabs.com\/education\/products\/gat-unlock\/\" target=\"_blank\" rel=\"noreferrer noopener\">GAT Unlock<\/a>&nbsp;to identify externally owned files and folders from teachers\u2019 emails and create a copy in your school environment.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-5-do-a-quick-classroom-calendar-clean-up\">5. Do a Quick Classroom Calendar Clean-up<\/h3>\n\n\n\n<p>Finally, you may want to keep your teachers\u2019 Calendars nice and clean for the new school year by clearing up any old Classroom Assignment Calendars associated with classes you archived.&nbsp;<\/p>\n\n\n\n<p>That way, their Calendars won\u2019t be clogged with Classes they don\u2019t really teach anymore.<\/p>\n\n\n\n<p>You can also use a third-party tool like GAT+ to&nbsp;<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/google-calendar-audit\/\" target=\"_blank\" rel=\"noreferrer noopener\">audit and delete recurrent Calendar events<\/a>&nbsp;for your users.<\/p>\n\n\n\n<p>Well, Admin, that\u2019s it from us today \u2014 we hope you\u2019ve found this piece useful.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>You may have a little more digital clutter to sort out at the end of the year.
