When AI tools are hidden from the admin\u2019s sight, user data can end up in the ungoverned, limitless darkness.&nbsp;<\/p>\n\n\n\n<p>Let\u2019s explore how Google admins can mitigate this risk to data privacy without cutting off schools\u2019 access to artificial intelligence solutions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-is-shadow-ai-in-education\">What is Shadow AI in Education?<\/h2>\n\n\n\n<p>Shadow AI is any AI-driven tool, service, or application that students and school staff use without the IT team\u2019s authorization.&nbsp;<\/p>\n\n\n\n<p>Similar to already known <a href=\"https:\/\/gatlabs.com\/blogpost\/google-workspace-shadow-it-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">Shadow IT<\/a>, it creates blind spots, putting data privacy, cybersecurity, and compliance at risk. <mark style=\"background-color:#f1e6ff\" class=\"has-inline-color\">Using unvetted AI tools leaves no audit trail for IT admins during a data breach.<\/mark><\/p>\n\n\n\n<p>Imagine this scenario: A teacher is pasting a file with a student\u2019s homework into a free AI chatbot. Her intentions aren\u2019t malicious; she just wants to move faster with assignment review.<\/p>\n\n\n\n<p>Here is another example: The student who submitted that assignment also used a GenAI app to write that essay. Interactive artificial intelligence tools require a new approach, considering that they differ from any existing software:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Availability<\/strong>: Often free and available 24\/7 to any user online, regardless of their digital skills or security awareness.&nbsp;<\/li>\n\n\n\n<li><strong>Data Vulnerability<\/strong>: Unvetted AI-driven tools can store and process sensitive PII shared in user prompts, risking unauthorized data leakage.<\/li>\n\n\n\n<li><strong>Multiple Use Cases<\/strong>: Countless ways in which artificial intelligence can be used make data risks harder to map and anticipate.<\/li>\n\n\n\n<li><strong>Rapid Development<\/strong>: New AI services constantly emerge, sometimes lacking robust security measures and data protection policies.<\/li>\n\n\n\n<li><strong>Over-reliance<\/strong>: Users tend to trust AI-generated outputs without critical verification against other sources and their own knowledge.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-switch-the-light-on-targeting-shadow-ai-in-school\">Switch the Light on: Targeting Shadow AI in School<\/h2>\n\n\n\n<p>Usually, AI users don\u2019t intend to do any harm. \u201cI just want to speed up my lesson planning\u201d. \u201cI\u2019d like to create a funny infographic about everyone in my classroom\u201d.<\/p>\n\n\n\n<p>Without <mark style=\"background-color:#f1e6ff\" class=\"has-inline-color\">education on responsible and safe AI use<\/mark>, students and school staff may unintentionally share potentially sensitive data, i.e., <a href=\"https:\/\/www.reddit.com\/r\/mildlyinfuriating\/comments\/1pilmzk\/school_uses_ai_for_school_pictures\/\">every student\u2019s picture and name<\/a>, with AI models.<\/p>\n\n\n\n<p>Effect? Perhaps none; perhaps, at some stage, a large leak of photos and identities of minor students.<\/p>\n\n\n\n<p>Okay, so what can we do to discover what, when, and for which purpose unauthorized AI apps are being used in your school?&nbsp;<\/p>\n\n\n\n<p>Here are a few ideas:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-un-shadow-ai-apps-in-use\">1. \u201cUn-shadow\u201d AI Apps in Use<\/h3>\n\n\n\n<p>Ask your students and teachers what AI tools they use most often. Train on AI Awareness<\/h3>\n\n\n\n<p>Plan a series of training sessions on the responsible and safe use of AI tools approved for use in your school. Invite your users with practical knowledge on how to leverage AI in daily tasks to share their experience. As an IT expert, educate on data privacy risks and user best practices.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-4-strict-school-ai-policy\">4. Strict School AI Policy<\/h3>\n\n\n\n<p>Make sure your school has a policy on artificial intelligence, as it is one of the key cybersecurity risks these days. It needs to specify how AI services can be used in educational settings and what data users are allowed to share with these tools (more on that below).<\/p>\n\n\n\n<p id=\"h-while-exploring-new-ai-applications-everyone-needs-to-be-aware-that-personal-data-safety-is-at-stake-only-close-collaboration-between-users-and-the-it-department-can-effectively-mitigate-the-risk-of-shadow-ai-at-school-nbsp\">While exploring new AI applications, everyone needs to be aware that personal data safety is at stake. Information users share, models often use to fine-tune their performance and practice providing the best answers.&nbsp;<\/p>\n\n\n\n<p>However, there is a dark side as well: <mark style=\"background-color:#f1e6ff\" class=\"has-inline-color\">significant data residency risk.<\/mark><\/p>\n\n\n\n<p>User data, including sensitive information, can be permanently stored, used to train AI models and create misleading hallucinations, and revealed to other users.<\/p>\n\n\n\n<p>Some applications don\u2019t provide transparent governance. If they do, it\u2019s unrealistic to expect every user to read and understand the app&#8217;s data protection policy before using it.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-personal-data-red-list\">Personal Data Red List<\/h3>\n\n\n\n<p>To reduce the risk of data leakage through AI-powered tools, sharing <mark style=\"background-color:#f1e6ff\" class=\"has-inline-color\">any sensitive data<\/mark> with AI applications should be forbidden.&nbsp;<\/p>\n\n\n\n<p>Students and school staff should be strictly disallowed from sharing:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Student grades, learning assessments, and other academic records<\/li>\n\n\n\n<li>Student assignments and schoolwork, including student names<\/li>\n\n\n\n<li>Special education internal information<\/li>\n\n\n\n<li>Any prompts that include PII (students&#8217; and parents&#8217; names, birth dates, health information, social numbers, credit card numbers, etc.)<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-user-practices-for-ai-security\">User Practices for AI Security<\/h3>\n\n\n\n<p>Students and teachers can still leverage AI chatbots to support their daily tasks, respecting security measures:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Anonymize or modify queries to avoid mentioning real confidential or personal information.<\/li>\n\n\n\n<li>Ask AI to generate general solutions, such as a template or guidelines, instead of uploading your specific data to be included in the AI content.<\/li>\n\n\n\n<li>Use your Google account to log in to AI-driven tools, so when a cyber incident occurs, the admin can <a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/how-to-view-the-full-url-of-browsing-history\/\" target=\"_blank\" rel=\"noreferrer noopener\">audit your activity <\/a>and address the threat.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-admin-solutions-for-controlling-data-exposure-to-ai-tools\">Admin Solutions for Controlling Data Exposure To AI Tools<\/h2>\n\n\n\n<p>Relying solely on user behavior is not enough for the school\u2019s AI governance.
