Using GAT Flow allows admin to use multiple Actions when modifying a user.
Those actions can all be added and used simultaneously alongside modifying the user(s).
Below are the steps required to Modify a user and a list of all the additional actions that can be taken.
Open GAT+ and click to open Flow.
A new window will be displayed, click on Login.
Select Create workflow
Add a name and select type to Modify
Click on Next to proceed to Search for a user.
Pick up an option to enter user, group, or org.unit.
When the users are added click on Proceed to actions.
Under Choose actions you will see a list with different actions that can be taken to Modifying
Click on any of the options, this will move them to the right side.
Fill in the details needed.
Example: Add user to groups, Set email signature, Folder permission change
The list of actions that can be taken while modifying is as follows:
- Add user to groups
- Set as super admin
- Add user to calendars
- Set email signature
- Send email
- Set user role
- Copy folder to selected user(s)
- Folder permission change
- Copy user contacts
- Change user password
- Change user organization unit
- Suspend user
- Set up auto-reply
- Set email auto-forwarding
- Set email delegation
- Set POP
- set IMAP
- Set time zone
- Transfer calendar events
- Delete user from all groups
- Delete user calendar events
- Wipe mobile devices
- Google application data transfer
- Clear recovery data
- Migrate emails
- Change chrome os device status
- Force sign out
- Delete user profile picture
- Add teacher(s) to Google Classrooms
- Add student(s) to Google Classrooms
- Remove student(s) from all Classrooms
- Remove teacher(s) from all Classrooms
When the actions are selected and filled in, click on Send approval request below the action list. A pop-up window will be displayed, click Yes to proceed.
The request will be sent to the Security officer for approval.
Under Workflow, you can see the status of the request and the details of all the actions requested (eye icon).
When the request is approved, the modifying will take effect alongside all the selected actions
The status in results will be set as Approved.
Click on the Eye icon to see more details.
Additionally, you can save this as an Action set or edit and re-request the workflow.
As in the example above, the user is modified and all the selected actions take effect.
