Using GAT Flow allows admin to use multiple Actions when offboarding a user.
Those actions can all be added and used simultaneously alongside removing the user(s).
Below are the steps required for OffBoarding a user and a list of all the additional actions that can be taken.
Open GAT+ and click to open Flow.
A new window will be displayed, click on Login.
Select Create workflow
Add a name and select type to Offboarding.
Note: This action cannot be undone. Selected accounts will be deleted.
All emails and files once removed can be restored within 20 days using G Suite Admin Console otherwise they will be gone forever
Click on Next to proceed to Search for a user.
Pick up an option to enter user, group, or org.unit.
When the users are added click on Proceed to actions.
Under Choose actions you will see a list with different actions that can be taken for offboarding
Click on any of the options, this will move them to the right side. Fill in the details needed.
Example: Delete user from all groups, Clear recovery data, Force sign out the user, Delete user profile picture
The list of actions that can be taken while offboarding is as follows:
- Transfer calendar events
- Delete user from all groups
- Delete user calendar events
- Wipe mobile devices
- Google applications data transfer
- Migrate emails
- Change chrome os device status
- Force sign out
- Delete user profile picture
- Remove student(s) from all Classrooms
- Remove teacher(s) from all Classrooms
When the actions are selected and filled in, click on Send approval request below the action list. A pop-up warning message will be displayed
The request will be sent to the Security officer for approval.
Under Workflow, you can see the status of the request and the details of all the actions requested (eye icon).
When the request is approved, the offboarding will take effect along with all the actions.
The status in results will be set as Approved.
Click on the Eye icon to see more details.
Additionally, you can save this as an Action set or edit and re-request the workflow.
As in the example above, the user is removed along with being removed from groups, profile pictures, and all other selected actions.
