Using GAT Flow allows admin to use multiple Actions when onboarding a user.
Those actions can all be added and used simultaneously alongside creating the user(s).
Below are the steps required for Onboarding a user and a list of all the additional actions that can be taken.
Open GAT+ and click to open Flow.
Under Create workflow add a name and select type to Onboarding.
Click on Next to proceed to Search for a user.
Pick the domain name and select the prefixes if the emails of the new users.
Once the email is chosen, click on to Import users or Add a new user via the User Interface (additional details can be filled in by selecting the option below Email)
When the users are added click on Proceed to actions.
Under Choose actions you will see a list with different actions that can be taken for onboarding the users
Select any of the options and they will be added to the right side, fill in any details needed.
Example: Set user as Super admin, Set user role, copy user contacts.
The list of actions that can be taken while onboarding is as follows:
- Add user to groups
- Set as super admin
- Add user to calendars
- Set email signature
- Send email
- Set user role
- Copy folder to the selected user(s)
- Folder permission change
- Copy user contacts
- Change user password
- Change user organization unit
- Suspend user
- Set up auto-reply
- Set email auto-forwarding
- Set email delegation
- Set POP
- Set IMAP
- Set time zone
- Add teacher(s) to Google Classrooms
- Add students(s) to Google Classrooms
When the actions are selected and filled in, click on Send approval request below the action list.
Under Workflow, you can see the status of the request and the details of all the actions requested (eye icon).
The Security officer will receive an email notification asking them to approve the request.
When the request is approved, the onboarding will take effect along with all the actions.
The progress can be checked under Workflow click on the Eye icon to see more details.
Additionally, you can save this as an Action set or edit and re-request the workflow.
As in the example above, the account was created alongside all the additional actions we chose.
