Copy Multiple Folders to Multiple Users in Bulk
GAT Flow allows admins to onboard, offboard or modify existing users/students in bulk and add any given Folder into their Google Drive.
Allowing any selected group of users to have a copy of specific folders in bulk.
This will create a copy of the existing folders and the copy will be placed in the Drive of the selected users
Access
To perform such action, navigate to GAT+ and open Flow.
Create Workflow
When logged in click on Create workflow
Under Workflow type pick a name and one of the options.
Modify – Edit existing accounts, select and copy multiple folders and add them to the selected accounts
Onboarding – Create a new accounts, select and copy multiple folders and add them to the new created accounts
Click on Next to proceed.
For this example, we will use the Modify option
The Onboarding is creating the accounts first then selecting and copying multiple folders and adding them to the selected accounts.
Select User(s)
This will lead to a new window Search for a user
Pick any of the options to add users as Group or Org. Unit.
Once the group or org.unit are selected you can add all in bulk or edit and remove some users from the list.
When the users are selected click on Proceed to actions.
Choose actions
This will lead to the Choose actions tab
From the menu on the left pick Copy folder to the selected user(s)
In the field “Copy from” enter the email of the user where you want to copy the folders from.
Copy folder to the selected user(s)
When the user has selected a list of Folders in their “My Drive” will be displayed.
Click on Copy folder to the selected user(s) again to copy folders from a different users.
Send request
Pick the Folder you want to copy and click on Send approval request.
When the request is sent – details can be seen in Workflow
Security Officer Approval
The Security officer will receive an email notification and navigated to GAT Flow.
Approval Workflow
When it is Approved the job will take an effect.
Details can be seen in Approval in Flow.
Result
All the selected folders will have copy created into the selected Users
This will create a copy of the existing folder and it will be placed in the Drive of the selected users
The selected folders shown above will be copied and placed in the selected users Google Drive.
