How to OnBoard multiple G Suite users in bulk using GAT Flow
On the left-hand side under Configuration select Flow
A new window will be opened – click on it to Login
When logged in select Create workflow
Under that, pick and enter a workflow name and select the OnBoarding type.
There is an option to Run immediately after approval
This allows an admin to set a time when the job to be run in the future, if not immediately
Click on Next to proceed further
Under Search for users:
- Select your domain
- Pick an email preview – how the email will be set up once the account is created
- Click on Import users or add new user below
When you select Import users
A new text box will be added below
Select Create template
A spreadsheet will be generated, click on the eye icon to view the spreadsheet
A new tab will be loaded on your browser with the google spreadsheet.
Fill in the details for your users.
You can copy and paste the data from a pre-prepared sheet and adjust it to this sheet.
Close the spreadsheet and click on the checkmark to select and import the changes
The users will be displayed below.
Scroll down to view and audit the users again, and you can expand the view and edit or remove additional info for the accounts.
Once satisfied with the accounts and their details
Click on Proceed to actions
Under Choose actions select any of the actions you want to take for the new accounts.
Select predefined action set – if you have and want to use
When the actions are selected click on Send approval request
Pop up window will be displayed, click Yes to proceed
This will trigger an email to the Security Officer to be approved.
The Security officer will receive an email notification with the request to be approved.
This will lead them to the Flow – Approval page
Click on the eye icon to see exactly what action will take place.
Click on Approve or Deny
If there is Pre-approval set up a second message will be displayed, to proceed right away.
The result can be seen in the Workflow
The status of the job will be Approved or Denied based on the Security officer’s decision.
