How To Set Up Google Drive Scheduled Report For Downloaded Files From Any Given Timeframe
GAT+ offers various functionality of scheduling reports. Here we will focus on scheduling a report for Google Drive downloaded files. The aim is to have a report of all the files downloaded for a specified Organisational Unit (OU) scheduled on a daily basis.
Getting Started
Launch GAT+ and Navigate to the ‘Drive’ section.
In the ‘Files’ tab, we can define a search for the ‘Shared Drive’ files folders for a specified OU.
Launch the ‘Files Filters’ pop-up window by selecting the ‘Apply Custom Filter’ icon.
Input the definition as shown below and apply the filter.
The results will display the Shared Drive folders for this OU. We will use this search in the next step to define a scheduled report.
- Green color indicates file shared internally.
- Orange color indicates file shared externally.
Scheduling Report
Now that we have narrowed down our search we will move onto the ‘Events’ tab. Here we will apply a custom filter to define the report.
Make sure to select the ‘Type’ to be ‘Filtered Files Search’ so that we can refer to the previous filter in the ‘Files’ Tab.
After defining the search as below, select the Apply & Schedule Icon to schedule the report.
Results
The result of scheduling the report should display in the ‘Scheduled Report‘ section of the GAT+ menu. Here you will find a list of your scheduled reports and have the option to modify or delete by selecting the icons as shown below.
