The alert will be triggered when a file is sent to<strong> specific target emails<\/strong> or has <strong>specific sharing permissions<\/strong>.<\/p>\n<p>As an example, if a file is Shared out to specific or any <strong>Gmail<\/strong> or<strong> Yahoo<\/strong> or <strong>any specified domains<\/strong>, or also have set <strong>sharing permission<\/strong> to <strong>Public<\/strong> or <strong>Public with a link.<\/strong><\/p>\n<h3 class=\"fusion-responsive-typography-calculated\" data-fontsize=\"25\" data-lineheight=\"31.25px\"><span id=\"To_set_up_an_alert\">To set up an alert<\/span><\/h3>\n<p>Open\u00a0<strong>GAT+<\/strong>\u00a0and navigate to\u00a0<strong>Alert\u00a0rules<\/strong><\/p>\n<p><img fetchpriority=\"high\" decoding=\"async\" class=\"alignnone size-full wp-image-12835\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/12\/GAT.png\" alt=\"\" width=\"310\" height=\"410\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/12\/GAT.png 310w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/12\/GAT-227x300.png 227w\" sizes=\"(max-width: 310px) 100vw, 310px\" \/><\/p>\n<p>Click on the\u00a0<strong>+ sign,\u00a0<\/strong>pick and add a name for the rule.<\/p>\n<p>Select and\u00a0<strong>enable\u00a0<\/strong>the rule.<\/p>\n<p>In\u00a0<strong>Type\u00a0<\/strong>select\u00a0<strong>Drive\u00a0<\/strong>pick and select the\u00a0<strong>Scope\u00a0<\/strong>of the users you want to check for.<\/p>\n<p>In <strong>recipients<\/strong> add the users who will be notified once the rule is broken. This can be a user or group email.<\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-34290\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2020\/04\/screenshot-gs.generalaudittool.com-2020.04.01-14_00_58.png\" alt=\"\" width=\"1062\" height=\"477\" \/><\/p>\n<p>Select\u00a0<strong>Alert if &#8216;share to&#8217; address matches specified pattern<\/strong><\/p>\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-12853\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert.png\" alt=\"\" width=\"928\" height=\"937\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert.png 928w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert-297x300.png 297w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert-150x150.png 150w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert-768x775.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/01\/Shared-to-alert-360x363.png 360w\" sizes=\"(max-width: 928px) 100vw, 928px\" \/><\/p>\n<p>In\u00a0<strong>Targets <\/strong>add <strong>Sharing permissions<\/strong> you want to <strong>prevent or be notified for.<\/strong><\/p>\n<p>You can use a wildcard character <strong>*<\/strong> that will be interpreted as any number of characters.<\/p>\n<p><strong>Example:\u00a0<\/strong><\/p>\n<ul>\n<li><strong>*@domain.com<\/strong> &#8211; Anyone with domain.com (external domain to yours)<\/li>\n<li><strong>john@domain.com<\/strong> &#8211; the share with this user will be reported<\/li>\n<li><strong>*@gmail.com<\/strong>\u00a0will remove sharing to emails in that domain<\/li>\n<li><strong>yahoo.com<\/strong> will remove sharing to domain<\/li>\n<\/ul>\n<p>Click on\u00a0<strong>Notify user &#8211;\u00a0<\/strong>so you can send the users who share those documents a custom message.<\/p>\n<p>Add a message and {FILE_LIST} at the end so the name and file are included once the alert is triggered.<\/p>\n<p>If you select\u00a0<strong>Remove share<\/strong> the shares stated in the <strong>Target list\u00a0<\/strong>will be removed<\/p>\n<p>Select to\u00a0<strong>Save\u00a0<\/strong>the rule.<\/p>\n<p>When the alert is triggered will be reported in the <strong>Alerts\u00a0<\/strong>tab under Audit and management<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-34308\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2020\/04\/screenshot-gs.generalaudittool.com-2020.04.02-11_39_17.png\" alt=\"\" width=\"1349\" height=\"722\" \/><\/p>\n<p>Click on the\u00a0<strong>eye icon\u00a0<\/strong>under Actions to view details for the rule.<\/p>\n<p>Under <strong>Details<\/strong> &#8211; Shared to target violations: will have the link to the File and metadata for it.<\/p>\n<p>Click on the file and view <strong>General<\/strong> metadata info and<strong> Events<\/strong>.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-34309\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2020\/04\/screenshot-gs.generalaudittool.com-2020.04.02-11_44_26.png\" alt=\"\" width=\"895\" height=\"473\" \/><\/p>\n<p>Under\u00a0<strong>Events, you can see the sharing <\/strong>where the Gmail, Yahoo, and other rules we set up have been <strong>removed<\/strong><\/p>\n<p>The removal of the shares can also be seen in the <strong>Admin log<\/strong><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-34311\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2020\/04\/screenshot-gs.generalaudittool.com-2020.04.02-11_48_18.png\" alt=\"\" width=\"1234\" height=\"691\" \/><\/p>\n<p>An email will be received by the users who <b>broke <\/b>the rule- <strong>share out<\/strong> a file to (Gmail, Yahoo, or Public), with a custom message added by the admin<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-34347\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2020\/04\/2020-04-02-15_53_32-Window.png\" alt=\"\" width=\"1068\" height=\"464\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Introduction Using GAT+ Alert Rules, a Workspace Super Admin can get notified if Google Drive documents are shared outside your domain.
