Audit Domain Chat Spaces<\/h2>\n

The GAT Flow<\/a> Chat module<\/strong> allows administrators to create new Google Chat Spaces<\/strong>, as well as audit and edit all existing Chat Spaces<\/strong> across the domain. This gives Google Workspace Admins central visibility and control over chat environments in their organisation.<\/p>\n

Access the Chat Module<\/h3>\n

Navigate to <\/span>GAT Flow (1) > Domain (2) > Chats (3).<\/strong><\/p>\n

Under the\u00a0Chats (4)<\/strong>\u00a0section\u00a0>\u00a0<\/strong>click on \u201c+ New Chat\u201d (5)<\/strong> to create a new Chat Space.<\/p>\n

All existing Chats can be audited, edited, or deleted directly in a table (6).<\/p>\n

\"GAT<\/p>\n

Update Member in multiple Chat Spaces<\/h3>\n

To update the members of multiple Chat Spaces, select the records of the Chat Spaces that you wish to make changes to (1), and an additional “Add\/remove members” option (2) will be displayed above the table.<\/p>\n

The new window will appear where you review and proceed with the changes.<\/p>\n

\""Change<\/p>\n

First, you can review the Chat selected for the change to be applied to (1). Next, select the action Add<\/strong> or Remove<\/strong> (2) member(s) from selected Chat Spaces in bulk. Select member(s) you wish to add or remove (3). Once ready, confirm<\/strong> the changes (4).<\/p>\n

Add, Edit, or Delete Spaces<\/h3>\n

To edit existing Chat Spaces, hover your cursor over the right side of the Chat record, and the action icons will be displayed. These are as follows:<\/p>\n

  • \u201cpencil<\/strong><\/em>\u201d icon \u2013 allows editing the records<\/li>\n
  • \u201cbin<\/strong><\/em>\u201d icon \u2013 allows the deletion of the Chat Space entirely<\/li>\n<\/ul>\n

    \"GAT<\/p>\n

    The Chat Edit<\/strong> option allows editing the following information:<\/p>\n

      \n
    1. General<\/strong>\u00a0\u2013\u00a0 allows for amending information such as:\n
        \n
      1. Basic information:\n
          \n
        1. Name – display name for the space, unique in your organization. Up to 128 characters.<\/li>\n
        2. Description – description of the space, e.g., discussion topic, purpose, or participants. Up to 150 characters.<\/li>\n<\/ol>\n<\/li>\n
        3. Type – Type of space (required when creating or updating). Currently, only the “Space” type is available here.<\/li>\n
        4. Guidelines – The space’s rules, expectations, and etiquette. Up to 5000 characters.<\/li>\n<\/ol>\n<\/li>\n
        5. Members<\/strong> \u2013 access to the Chat Space – add or remove members<\/li>\n
        6. Settings<\/strong> management section:\n
            \n
          1. Predefined settings – Configured when creating the Chat. Cannot be edited here.<\/li>\n
          2. Access level – Edit access settings such as who can manage members and whether the external users are allowed to be invited to the Chat, and more.<\/li>\n
          3. Permissions – Edit permissions such as who can reply to messages, who can turn on and off history, and more.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n

            After updating the calendar data, click the\u00a0Update<\/strong>\u00a0button (4) to ensure that the changes are saved.<\/p>\n

            Manage Chat Spaces Members<\/h2>\n

            This section allows you to manage the Spaces members list<\/b><\/p>\n

            Add a new member to Chat Spaces<\/h3>\n

            To add a particular user to the Chat Members list (1), click on the + Add Member<\/strong> button (2) to invite a new user to this Chat room (3). To save the changes, click on the Update<\/strong>\u00a0button (4).<\/p>\n

            Edit or Remove existing members from Chat Space<\/h3>\n

            To edit or remove existing members of the Chat, move to the table and hover the cursor over the scope that you wish to edit or remove. The two icons will appear as follows (1):<\/p>\n

              \n
            • \u201cpencil\u201d icon \u2013 allows editing the member role in the Space environment<\/li>\n
            • \u201cbin\u201d icon \u2013 allows the removal of the member from the Space entirely<\/li>\n<\/ul>\n

              The selected record will be displayed under the\u00a0Changes<\/strong> section (2), from whereit can be edited or removed entirely.<\/p>\n

              All changes must be saved by clicking on\u00a0Update<\/strong>\u00a0button (3).<\/p>\n

              Manage Chat Spaces Settings<\/h2>\n

              1. The settings<\/b> management section allows you to amend the following settings:\n

                  1. Collaboration – all members can post, or<\/li>\n
                  2. Announcement – only managers can post. Can be set only when creating a named space.<\/li>\n<\/ol>\n<\/li>\n
                  3. Access level:\n

                      1. Private – Private spaces are only for invited users or groups.<\/li>\n
                      2. Discoverable – Discoverable spaces can be accessed by a target audience plus any invited users or groups.<\/li>\n<\/ol>\n<\/li>\n
                      3. Who can manage members and groups – Setting for managing members and groups in a space:\n
                          \n
                        1. All members<\/li>\n
                        2. Space managers only<\/li>\n<\/ol>\n<\/li>\n
                        3. External users allowed – Specifies if any Google Chat user can join the space. Set only when creating a space. Read-only for existing spaces<\/strong>.<\/li>\n<\/ol>\n<\/li>\n
                        4. Permissions:\n

                          1. Who can reply to messages – Setting for replying to messages in a space. Currently, the API does not allow modifying this setting.\n

                            3. Who can modify the space board and details – Setting for updating space name, avatar, description, and guidelines.\n
