Migrating Bulk Emails in Google Workspace via GAT Flow<\/h2>\n

GAT Flow is a user management tool that provides email migration<\/a> allowing Google Admins to copy bulk emails from one user of the domain and migrate them into another.<\/strong><\/p>\n

Email migration<\/strong> is an option available in Flow<\/strong> for OffBoarding<\/strong> and Modifying<\/strong> existing users<\/p>\n

Steps to do this action<\/h2>\n

Flow<\/h3>\n

In GAT+ click on the GAT+ icon and open Flow\u00a0<\/strong>from the menu.<\/p>\n

Workflow type<\/strong><\/h3>\n

Select and click on\u00a0Create workflow<\/strong> from the menu on the left<\/p>\n

\"\"<\/p>\n

Pick and add a name<\/strong> for the workflow, and select the type<\/strong> as Modify<\/strong> or OffBoarding.<\/strong><\/p>\n

An example is for “Modify”\u00a0<\/strong>workflow<\/p>\n

The steps for OffBoarding are similar<\/p><\/blockquote>\n

Click on\u00a0Next\u00a0<\/strong>to proceed.<\/p>\n

Select user<\/h3>\n

In Search for a user, pick the user you want to work with.<\/p>\n

Important<\/strong>, select the user whose emails will be migrated<\/strong> to other users<\/p><\/blockquote>\n

Add individual users<\/strong>, groups of users, or org. unit.<\/p>\n

When the user is selected, click on Proceed to actions\u00a0<\/strong><\/p>\n

Choose actions<\/h3>\n

G Suite email migration allows copying emails from one user into another.<\/p>\n

To\u00a0Add action<\/em>\u00a0or\u00a0Add action set<\/em>, please select the plus button shown in the screenshot below accordingly.<\/p>\n

If the process hasn\u2019t been set before, please use\u00a0Add action<\/em>\u00a0button and create the node.<\/p>\n

Select the Migrate emails<\/strong> option from the menu:<\/p>\n

Fill in the details.<\/p>\n

  • Migration type<\/strong> – select to migrate the emails to a User<\/strong> or a Group<\/strong><\/li>\n
  • Migrate to<\/strong> – select the User or Group to who the migration will be done for\n
      \n
    • Days back<\/strong> – select how many days back worth of emails is needed – the max is 12 months (365 days)<\/li>\n
    • Quantity limit<\/strong> – enter the quantitiy limit – the max is 10 000 emails<\/li>\n<\/ul>\n<\/li>\n
    • Query<\/strong> – enter a gmail quary based on wich emails matching the query will be migrated<\/li>\n
    • Target user label name<\/strong> – enter a label name (from {{sourceUserEmail}} – this will apply lable on the migrated emails<\/li>\n<\/ul>\n

      Click on\u00a0Send approval request<\/strong><\/p>\n

      Security officer<\/h3>\n

      The security officer will receive an email notification for this approval.<\/p>\n

      Once it is approved, the job will take effect and the email migration will start.<\/p>\n

      Workflow<\/h3>\n

      You will be navigated to Workflow. Click on the “eye<\/strong>” icon to view details for before and after it is approved<\/p>\n

      Approval<\/h3>\n

      The details can be seen on the Approval<\/strong> page, depending on the number of emails and users involved it might take some time.<\/strong><\/p>\n

      Clicking on the eye icon<\/strong> will display info for the job done.<\/p>\n

      Result<\/h3>\n

      The result for the affected user will be displayed as below. All 1200 emails are migrated<\/strong>.<\/p>\n
