GAT Flow allows Google Workspace admins to change passwords of multiple users.<\/p>\r\n\r\n\r\n\r\n

In this post we’ll show you how to Modify<\/strong> and change users’ Google Workspace passwords in bulk.<\/p>\r\n\r\n\r\n\r\n

Note: <\/strong>This requires the <\/em>Unlock feature<\/em> <\/strong><\/p>\r\n\r\n\r\n\r\n

How to change user passwords in bulk in Google Workspace?<\/h3>\r\n\r\n\r\n\r\n

Open\u00a0GAT+<\/strong>\u00a0and select\u00a0Flow<\/strong><\/p>\r\n

\"Navigating<\/p>\r\n

A new Flow tab will be opened on your browser.<\/p>\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n

Create Workflow Type<\/h3>\r\n\r\n\r\n\r\n

The Flow will be open on a new tab.<\/p>\r\n\r\n\r\n\r\n

From the menu on the left click on\u00a0Create workflow<\/strong><\/p>\r\n

Create workflow window will be displayed.<\/p>\r\n\r\n\r\n\r\n\r\n\r\n

    \r\n
  • Name<\/strong>\u00a0\u2013 enter the name for the workflow<\/li>\r\n
  • Type<\/strong>\u00a0\u2013 select the workflow type\r\n
      \r\n
    • Modify<\/strong>\u00a0\u2013 modify existing users<\/li>\r\n<\/ul>\r\n<\/li>\r\n
    • Next<\/strong> \u2013 click on the button to proceed<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

      Search for a user<\/h3>\r\n\r\n\r\n\r\n

      In\u00a0\u2018Search for a user\u2019\u00a0<\/strong>pick any of the options<\/p>\r\n\r\n\r\n\r\n

        \r\n
      • Search for a user<\/strong> \u2013 select individual users<\/li>\r\n
      • Search for a group<\/strong> \u2013 select a group of users<\/li>\r\n
      • Search for an OU<\/strong> \u2013 select Org. Unit of users<\/li>\r\n
      • Import<\/strong> users – import users from a spreadsheet.<\/li>\r\n
      • Next<\/strong>\u00a0\u2013 click to proceed further<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

        Select from Group or Org. Unit – select individually if you want to exclude some of the users from the list and click on the “Submit” <\/strong>button\"Selecting<\/p>\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n

        Next<\/strong> – click on the button when the users needed are selected<\/p>\r\n

        Choose actions<\/h3>\r\n

        In the next section\u00a0Choose actions<\/strong>\u00a0click on the\u00a0(+) button\u00a0<\/strong>(1) and then click the\u00a0Add action<\/strong>\u00a0button (2)<\/p>\r\n

        Select the action\u00a0Change user password<\/strong> found under the User<\/strong> section\u00a0and add it to the workflow.<\/p>\r\n

        Change user password<\/h4>\r\n

        Fill in the details<\/p>\r\n

          \r\n
        • New password\u00a0<\/strong>\u2013 enter the new password \u2013 only new password will be added<\/li>\r\n
        • Change password at next login\u00a0<\/strong>\u2013 enable or disable the option to auto-force the end-user to change their password\r\n
            \r\n
          • If only this option\u00a0enabled<\/strong>\u00a0\u2013 the password wouldn\u2019t be changed by Admin, but the end-user would be forced to change the password the next time they need to login<\/li>\r\n<\/ul>\r\n
              \r\n
            • Both fields filled in \u2013 New password is added and a checkmark for Change password at next login enabled\r\n
                \r\n
              • both\u00a0passwords<\/em>\u00a0will be\u00a0changed<\/strong>\u00a0and they will be\u00a0forced to change it at the next login<\/strong><\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n<\/li>\r\n
              • Generate user password<\/strong>\u00a0\u2013 when the option is enabled, the password will be auto-generated<\/li>\r\n
              • Send user password<\/strong>\u00a0\u2013 when the option is enabled, a workflow creator will have the option to select\u00a0Password receiver<\/strong><\/li>\r\n
              • Password received<\/strong>\u00a0\u2013\u00a0Workflow creator<\/em>\u00a0(by default), Manager, User private email, or Specified emails<\/em><\/li>\r\n<\/ul>\r\n

                Security officer approval<\/h3>\r\n

                Send approval request<\/strong>\u00a0\u2013 click on the button to send the request for approval<\/p>\r\n

                The Security officer will receive an email notification, with details on how this request can be approved.<\/p>\r\n

                When approved, the action will take effect and all passwords will be changed.<\/p>\r\n

                Workflow\u00a0<\/strong>details<\/p>\r\n

                The status of the request can be as follows:<\/p>\r\n

                  \r\n
                • Requested<\/strong>\u00a0\u2013 send to Security officer for approval<\/li>\r\n
                • Aproved\u00a0<\/strong>\u2013 the Security Officer has approved the request<\/li>\r\n
                • Job status<\/strong>\u00a0\u2013 will show the status of the current workflow job\r\n
                    \r\n
                  • Scheduled \u2013 when is set to run<\/li>\r\n
                  • In Progress – when the workflow is currently in progress<\/li>\r\n
                  • Done \u2013 when the workflow has been completed<\/li>\r\n
                  • Partially done \u2013 when completed partially\r\n
                      \r\n
                    • Eye icon \u2013 click on eye icon to view more details<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n<\/li>\r\n
                    • Page icon<\/strong> \u2013 the blue icon on the right side will show all details for the Flow request\r\n
                        \r\n
                      • Save as action set<\/strong>\u00a0\u2013 save the Workflow as an action set for easy later use<\/li>\r\n
                      • Edit<\/strong>\u00a0\u2013 edit the workflow and apply changes<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n
