Introduction<\/h2>\r\n\r\n\r\n\r\n

GAT Flow tool allows Google Workspace Super Admins or Delegated Auditors (Delegate in Flow) to add and remove users from Google Classrooms. This can be done for individual students or groups of students in bulk.<\/p>\r\n\r\n\r\n\r\n\r\n\r\n

Note: <\/strong>This requires GAT Unlock to be enabled.\u00a0<\/p>\r\n\r\n\r\n\r\n

Startup<\/h3>\r\n\r\n\r\n\r\n

In GAT+ navigate and click to open\u00a0Flow\u00a0<\/strong><\/p>\r\n\r\n\r\n\r\n

When Flow is launched it will be loaded on a new tab on your browser.<\/p>\r\n

Set up the workflow<\/h3>\r\n

Navigate to\u00a0Flow<\/strong>\u00a0\u2192\u00a0Create workflow\u00a0<\/strong><\/p>\r\n

Workflow type<\/h4>\r\n

In the\u00a0Workflow<\/strong>\u00a0fill in the details. You can set it up also as an\u00a0Event workflow\u00a0<\/strong>or\u00a0Recurring workflow.<\/strong><\/p>\r\n

    \r\n
  • Name<\/strong>\u00a0\u2013 enter the name of the workflow (2)<\/li>\r\n
  • Description<\/strong>\u00a0\u2013 enter a description for the workflow (optional)<\/li>\r\n
  • Type<\/strong>\u00a0\u2013 select what workflow type you would like to run\r\n
      \r\n
    • Modify<\/strong>\u00a0\u2013 modify existing users (3)<\/li>\r\n<\/ul>\r\n<\/li>\r\n
    • Include suspended users<\/strong>\u00a0\u2013 enable or disable to allow you to select users who are currently suspended:\r\n
        \r\n
      • If enabled \u2013 you will be able to select even users who are suspended<\/li>\r\n
      • If disabled \u2013 you will be able to select only users who are active<\/li>\r\n<\/ul>\r\n<\/li>\r\n
      • Run immediately after approval<\/strong>\u00a0\u2013 provides an option to schedule the workflow to run in a selected future time (optional)<\/li>\r\n<\/ul>\r\n

        Later click\u00a0Next<\/strong>\u00a0(4) to proceed.<\/p>\r\n\r\n\r\n\r\n

        Click on\u00a0Next\u00a0<\/strong>to proceed.<\/p>\r\n\r\n\r\n\r\n

        Search for a user<\/h3>\r\n\r\n\r\n\r\n

        In \u201cSearch for a user<\/strong>\u201d enter the users that need to be added to different classrooms<\/p>\r\n\r\n\r\n\r\n

          \r\n
        • Search for a user<\/li>\r\n
        • Search for a group<\/li>\r\n
        • Search for an OU<\/li>\r\n
        • Search for a classroom<\/li>\r\n
        • Import users<\/li>\r\n<\/ul>\r\n

          \"Selecting<\/p>\r\n

          Click on the\u00a0\u201cGroup\u201d,<\/strong>\u00a0\u201cOU\u201d<\/strong> or \u201c<\/strong>Classroom\u201d<\/strong> and search for the group, OU, or Classroom where the users you want to add belong to.<\/p>\r\n

          \"How<\/p>\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n

          You can also search for users\u00a0individually<\/strong>\u00a0if they are part of different groups or org. units. Select the checkmark<\/strong> on each user to add or remove the user from the list.<\/p>\r\n

          \"How<\/p>\r\n\r\n\r\n\r\n\r\n\r\n

          Click on the Submit <\/strong>button<\/p>\r\n\r\n\r\n\r\n

          The list of users will be added to the workflow. Individual users can still be removed by clicking on the ‘Remove’ icon beside the name on the right-hand side.<\/p>\r\n

          Click on the \u201cNext\u201d <\/strong>button<\/p>\r\n\r\n\r\n\r\n

          Choose actions<\/h3>\r\n

          In the\u00a0Choose actions<\/strong>\u00a0click on the\u00a0(+) button\u00a0<\/strong>(1) and then click the\u00a0Add action<\/strong>\u00a0button (2)<\/p>\r\n

          \"Adding<\/p>\r\n

          When selecting\u00a0Add action<\/em>, a menu with different options will be displayed.<\/p>\r\n\r\n\r\n\r\n

          Select and click on Add user(s) as students to Google Classrooms <\/strong>from the menu on the right (1). Double click the ‘Add user(s) as student to Google Classrooms’ action node to configure the settings (2).<\/p>\r\n\r\n\r\n\r\n

          \"Adding<\/p>\r\n\r\n\r\n\r\n\r\n\r\n

          Search\u00a0<\/strong>and add all classrooms to which you want to add the selected students into.<\/strong><\/p>\r\n\r\n\r\n\r\n

          Enter the classrooms where you want to add the students into<\/p>\r\n\r\n\r\n\r\n

          Note:<\/strong> There are a few options for Google Classrooms.<\/p>\r\n\r\n\r\n\r\n

            \r\n
          • Add student(s) to Google Classroom<\/li>\r\n
          • Add teacher(s) to Google Classroom<\/li>\r\n
          • Remove student(s) from all Classrooms<\/li>\r\n
          • Remove teacher(s) from all Classrooms<\/li>\r\n<\/ul>\r\n

            \"Configuring<\/p>\r\n\r\n\r\n\r\n

            Request<\/h3>\r\n\r\n\r\n\r\n

            Click on \u201cSend approval request<\/strong>\u201d when ready<\/p>\r\n\r\n\r\n\r\n

            The request will be visible in\u00a0Workflows\u00a0<\/strong><\/p>\r\n\r\n\r\n\r\n

            The Security officer will receive an email notification, with details on how this request can be approved.<\/p>\r\n\r\n\r\n\r\n

            \"Security<\/p>\r\n\r\n\r\n\r\n\r\n\r\n

            When approved, the action will take an effect and all passwords will be changed.<\/p>\r\n\r\n\r\n\r\n

            Result<\/h3>\r\n\r\n\r\n\r\n

            The result will be visible in\u00a0Workflows<\/strong>\u00a0or\u00a0Approval<\/strong> by clicking on the Page icon<\/strong>\u00a0on the right side<\/p>\r\n\r\n\r\n\r\n

            Note: <\/strong>If students are already members of the classroom, they will not be added, but the remaining users will be.<\/p>\r\n

            Click on the\u00a0Page icon<\/strong>\u00a0to see more details about who are the users affected by this rule and the status of the job.<\/p>\r\n\r\n\r\n\r\n
