{"id":377,"date":"2022-05-03T16:53:50","date_gmt":"2022-05-03T15:53:50","guid":{"rendered":"https:\/\/gatlabs.com\/knowledge\/?p=377"},"modified":"2025-12-01T17:56:56","modified_gmt":"2025-12-01T17:56:56","password":"","slug":"flow-overview","status":"publish","type":"docs","link":"https:\/\/gatlabs.com\/knowledge\/tech-tips\/flow-overview\/","title":{"rendered":"GAT Flow Product Overview"},"content":{"rendered":"\r\n<h2 class=\"wp-block-heading\">What is GAT Flow?<\/h2>\r\n<div class=\"ose-youtube ose-uid-55c319153a5dfadb158d90f0c97d61c0 ose-embedpress-responsive\" style=\"width:900px; height:600px; max-height:600px; max-width:100%; display:inline-block;\" data-embed-type=\"Youtube\"><iframe allowFullScreen=\"true\" title=\"GAT Flow Overview\" width=\"900\" height=\"600\" src=\"https:\/\/www.youtube.com\/embed\/VGTyB8xkT1w?feature=oembed&color=red&rel=0&controls=1&start=&end=&fs=0&iv_load_policy=0&autoplay=0&mute=0&modestbranding=0&cc_load_policy=1&playsinline=1\" frameborder=\"0\" allow=\"accelerometer; encrypted-media;accelerometer;autoplay;clipboard-write;gyroscope;picture-in-picture clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe><\/div>\r\n\r\n\r\n\r\n<p>GAT Flow is a Google Workspace user management tool from GAT+.<\/p>\r\n<p>It&#8217;s used by Google Workspace Admins to<strong> take single or bulk actions to Onboard (create), Offboard (delete), or Modify (update) <\/strong>user accounts in Google Workspace.<\/p>\r\n\r\n\r\n\r\n<p>GAT Flow presents different types of\u00a0<strong>Workflow<\/strong>\u00a0that contain action sets.<\/p>\r\n\r\n\r\n\r\n<p>By default, GAT Flow can only be used by\u00a0<a href=\"https:\/\/gatlabs.com\/blogpost\/google-workspace-admin-vs-other-admin-roles\/\" target=\"_blank\" rel=\"noreferrer noopener\">Super Admins<\/a> of the domain.<\/p>\r\n<p>Alternatively, an Admin can give non-admin users access to the Flow application.<\/p>\r\n\r\n\r\n\r\n<p><strong>**Prerequisite<\/strong>: GAT Flow requires\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/gat-overview\/\" target=\"_blank\" rel=\"noreferrer noopener\">GAT+<\/a>\u00a0to be installed on the domain, and a Security Officer in\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/unlock-overview\/\" target=\"_blank\" rel=\"noreferrer noopener\">GAT Unlock<\/a>\u00a0to be configured.<\/p>\r\n\r\n\r\n\r\n<p><strong>**Availability:<\/strong>\u00a0GAT Flow is not available during the Trial period.<\/p>\r\n\r\n\r\n\r\n<p><em>GAT Flow is part of the Admin and Secure plans for Enterprise, and the Manage and Vigilant plans for Education.\u00a0Alternatively, you can\u00a0<a href=\"https:\/\/gatlabs.com\/get-in-touch-with-us\/\" target=\"_blank\" rel=\"noreferrer noopener\">contact us<\/a>\u00a0if you have a test domain.<\/em><\/p>\r\n\r\n\r\n\r\n<p><strong>**Security Officer:<\/strong> GAT Flow workflows and actions\u00a0<strong>must<\/strong>\u00a0be approved by a Security Officer, see\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/gat-unlock-first-steps\/#Policy\" target=\"_blank\" rel=\"noreferrer noopener\">policy process<\/a>\u00a0to add Security Officers.<\/p>\r\n\r\n\r\n<hr class=\"wp-block-separator\" \/>\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>Non-Google Admin Users<\/strong><\/h2>\r\n\r\n\r\n\r\n<p>GAT Flow can be delegated to non-admin users. That way you can allow non-admin users who deal with onboarding or offboarding users to have access to GAT Flow.<\/p>\r\n\r\n\r\n\r\n<p>For example, HR staff can have different workflows preconfigured so they can onboard and offboard staff easily from different departments without having to call IT every time there\u2019s a staff movement.<\/p>\r\n\r\n\r\n\r\n<p><em>(See our resource\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/gat-flow-delegated-auditor\/\" target=\"_blank\" rel=\"noopener\">Delegate Access to a Non-Google Admin<\/a> for more information)<\/em><\/p>\r\n\r\n\r\n<hr class=\"wp-block-separator\" \/>\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>How does GAT FLOW work?<\/strong><\/h2>\r\n\r\n\r\n\r\n<p>Using Google APIs (Application Programming Interface), GAT Flow allows Admins to manage and apply changes to their Google Workspace domain users.<\/p>\r\n\r\n\r\n\r\n<p>A Google Workspace Admin can use GAT Flow to perform one or multiple actions for one or multiple users of their domain.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>GAT FLOW Action Sets<\/strong><\/h2>\r\n\r\n\r\n\r\n<p>An Action Set allows Google Workspace Administrators to set up and prepare a set of actions for Onboarding, Offboarding, and Modifying users.\u00a0<\/p>\r\n\r\n\r\n\r\n<p>Each of these Action sets can be easily used when a workflow is created.\u00a0<\/p>\r\n\r\n\r\n\r\n<p>When a new workflow is created, the prepared action set can be used right away, instead of manually selecting each action \u2014 This allows the Action set to be used for creating a more streamlined Workflow.<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>The action<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/flow-action-set-for-onboarding-google-workspace-users\/\" target=\"_blank\" rel=\"noreferrer noopener\">\u00a0set for Onboarding Google Workspace users<\/a><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>\u201c<strong>Action sets<\/strong>\u201d can be created for each workflow type: Onboarding, Offboarding, and Modify.<\/p>\r\n\r\n\r\n\r\n<p>For each workflow type, different sets of actions can also be combined.<\/p>\r\n\r\n\r\n\r\n<p>For example, when a new user joins your Google workplace domain an initial action set can be created for the basic action of setting up a user. This action set can:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Set up the account<\/li>\r\n<li>Set password and 2FA conditions<\/li>\r\n<li>Send a welcome email<\/li>\r\n<li>Copy standard documents (such as the company handbook or holiday request forms) into the new staff member\u2019s folders, etc.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>This type of action set is common to all new staff.<\/p>\r\n\r\n\r\n\r\n<p>A second Action set can be created for Adding a user to their department\u2019s account.<\/p>\r\n\r\n\r\n\r\n<p><strong>For example,<\/strong>\u00a0an\u00a0action set will include onboarding new members to their team\u2019s account.<\/p>\r\n\r\n\r\n\r\n<p>With the onboarding action, you can add multiple other actions such as:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Adding this new user to the account\u2019s email group<\/li>\r\n<li>Setting up their email signature<\/li>\r\n<li>Transferring Calendar events<\/li>\r\n<li>Sending a welcome email<\/li>\r\n<li>Giving them access to folders or Shared Drive<\/li>\r\n<li>Copying user contacts<\/li>\r\n<li>Set up their Org. unit\u00a0<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>A third Action set can be created for Modifying existing users.<\/p>\r\n\r\n\r\n\r\n<p><strong>For example,\u00a0<\/strong>an action set will include Modifying existing users of the Sales team. With the Modify actions, you can edit and perform multiple changes on\u00a0multiple users.<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Setting up and adjusting the email signature of your entire Sales team<\/li>\r\n<li>Migrating emails from one user to another<\/li>\r\n<li>Adding\/Transferring\/Deleting users\u2019 Calendar events<\/li>\r\n<li>Suspending users<\/li>\r\n<li>Clearing recovery data<\/li>\r\n<li>Changing global directory visibility\u00a0<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>Each of these \u201cAction Sets\u201d can be used and combined multiple times for each Workflow an Admin may need.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>GAT FLOW Workflows<\/strong><\/h2>\r\n\r\n\r\n\r\n<p>A Workflow is a set of different actions an Admin can combine together.<\/p>\r\n\r\n\r\n\r\n<p>A Workflow is a combination\u00a0of:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li><strong>Choosing Workflow type<\/strong> \u2013 Onboarding, Offboarding, and Modify<\/li>\r\n<li><strong>Search for a user \u2013\u00a0<\/strong>Selecting the users who will be affected\u00a0<\/li>\r\n<li><strong>Choose actions<\/strong>\u00a0\u2013 Setting all the actions that can be performed on the workflow.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>Different action sets can be combined. Some can be common to all users, others will be specific to users in different departments.<\/p>\r\n\r\n\r\n\r\n<p>An Admin can create multiple workflows for each task type, for each user or bulk user, and select one or multiple actions to be performed, and different combinations of those actions.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>Types of workflows<\/strong><\/h2>\r\n\r\n\r\n\r\n<p><em>A workflow can contain one or more actions or \u2018Action sets\u2019.<\/em><\/p>\r\n\r\n\r\n\r\n<p>GAT Flow supports 3 different Workflow types:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li><strong>Onboarding<\/strong><\/li>\r\n<li><strong>Offboarding<\/strong><\/li>\r\n<li><strong>Modifying<\/strong><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\"><strong>Onboarding\u00a0<\/strong><\/h3>\r\n\r\n\r\n\r\n<p>The Onboarding workflow allows Admins to\u00a0<strong>create<\/strong>\u00a0user accounts for the domain (creating Email and User accounts for the users). These user accounts can be directly added to the domain using the UI or imported via a Google spreadsheet.<\/p>\r\n\r\n\r\n\r\n<p>It also allows additional actions to be taken \u2014 see\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/actions-available-when-onboarding-users\/\" target=\"_blank\" rel=\"noopener\">Actions available when Onboarding users.<\/a><\/p>\r\n\r\n\r\n\r\n<p><strong>Action Options available when creating user accounts\u00a0<\/strong>(can take place simultaneously)<strong>:<\/strong><\/p>\r\n\r\n\r\n\r\n<ul
