{"id":4161,"date":"2022-07-22T11:00:53","date_gmt":"2022-07-22T10:00:53","guid":{"rendered":"https:\/\/gatlabs.com\/knowledge\/?post_type=docs&#038;p=4161"},"modified":"2025-02-04T17:57:31","modified_gmt":"2025-02-04T17:57:31","password":"","slug":"events-workflows-with-conditions","status":"publish","type":"docs","link":"https:\/\/gatlabs.com\/knowledge\/tech-tips\/events-workflows-with-conditions\/","title":{"rendered":"GAT Flow: Conditional Event Workflows for Google Workspace"},"content":{"rendered":"<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\">\r\n<div class=\"wp-block-embed__wrapper\">\r\n<p><span style=\"font-size: 16px;\">GAT Flow is a user management tool for Google Workspace. <\/span><span style=\"font-size: 16px;\">It allows Google Admins to easily Onboard, Offboard, and Modify users using automation and bulk user management actions.<\/span><\/p>\r\n<p><span style=\"font-size: 16px;\"> In <strong>GAT Flow<\/strong> actions can be set to run automatically based on different events, these are called &#8216;Conditional event workflows&#8217;.<\/span><\/p>\r\n<p>In this post we&#8217;ll show you how to create this type of event workflows.<\/p>\r\n<h2>How to create Conditional Event Workflows?<\/h2>\r\n<\/div>\r\n<\/figure>\r\n<!-- \/wp:post-content -->\r\n\r\n<!-- wp:paragraph -->\r\n<p>Open GAT+ and navigate to <strong>Flow.<\/strong><\/p>\r\n<!-- \/wp:paragraph -->\r\n\r\n<!-- wp:image {\"id\":49,\"sizeSlug\":\"full\",\"linkDestination\":\"none\",\"className\":\"is-style-twentytwentyone-border\"} -->\r\n<p class=\"wp-block-image size-full is-style-twentytwentyone-border\"><img fetchpriority=\"high\" decoding=\"async\" class=\"alignnone size-full wp-image-12239\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/FlowS.png\" alt=\"\" width=\"300\" height=\"280\" \/><\/p>\r\n<!-- \/wp:image -->\r\n\r\n<!-- wp:paragraph -->\r\n<p>Navigate to<strong> Event workflow &gt;<\/strong>\u00a0<strong>Add new workflow<\/strong><\/p>\r\n<p>When the &#8220;<strong>Add new workflow<\/strong>&#8221; button is selected, a new window will be displayed as shown below:<\/p>\r\n<p><img decoding=\"async\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/2022-07-13-16_56_16-GAT-Flow.png\" \/><\/p>\r\n<p>Create the workflow by filling in the empty fields:<\/p>\r\n<ul class=\"wp-block-list\">\r\n<li><strong>Name \u2013\u00a0<\/strong>enter a workflow name<\/li>\r\n<li>Description \u2013 enter a description for the workflow (optional)<\/li>\r\n<li><strong>Type \u2013<\/strong> Select the type\u00a0<strong>Offboarding<\/strong><\/li>\r\n<li><strong>Event<\/strong> \u2013 select the <b>Start When user is suspended\u00a0<\/b>event type<\/li>\r\n<li><strong>Active<\/strong> \u2013 activate the Event workflow<\/li>\r\n<li><strong>Notify<\/strong> \u2013 use to designate a specific person or group of users to be notified when the workflow is completed, if required<\/li>\r\n<li><strong>Workflow tags<\/strong> \u2013 use to apply your customized tags for easier workflow identification, if required. <a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/how-to-create-workflow-tags-in-gat-flow\/\">How to Create Workflow Tags in GAT Flow<\/a><\/li>\r\n<li><strong>Pre-approved<\/strong>\u00a0\u2013 When\u00a0<strong>on\u00a0<\/strong>the workflow does not need to be approved, when\u00a0<strong>off\u00a0<\/strong>the workflow (action after the user is moved to Group or Org unit) has to be approved again.\r\n<ul>\r\n<li>\r\n<div>The Workflow (Event workflow) must be approved by default, for the actual events (actions selected) to run, enable pre-approved to run the job without needing approval, disable pre-approval and the job itself must be approved again.<\/div>\r\n<\/li>\r\n<\/ul>\r\n<\/li>\r\n<li><strong>Conditional flow<\/strong>\u00a0\u2013 enable the\u00a0<a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/conditional-workflows\/\">Conditional flow<\/a>\u00a0option<\/li>\r\n<\/ul>\r\n<p>Enter the <strong>&#8216;Name&#8217;<\/strong> of the workflow, select the &#8216;<strong>Type&#8217;, <\/strong>decide on an &#8216;<strong>Event&#8217; <\/strong>on which the workflow will be triggered<strong>,<\/strong> and toggle the\u00a0<strong>&#8216;Conditional flow&#8217; <\/strong>switch.<\/p>\r\n<p><img decoding=\"async\" class=\"alignnone size-large wp-image-12246\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-1024x516.png\" alt=\"\" width=\"800\" height=\"403\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-1024x516.png 1024w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-300x151.png 300w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-768x387.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-1536x774.png 1536w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users-360x181.png 360w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/07\/Offboard-users.png 1915w\" sizes=\"(max-width: 800px) 100vw, 800px\" \/><\/p>\r\n<p>In the above example below, the conditional workflow will <strong>execute when a user is suspended<\/strong> (as decided on above), <em>unless<\/em> John is the user&#8217;s manager.<\/p>\r\n<p>If John <em>is<\/em> the user&#8217;s manager <strong>(True)<\/strong>, the workflow will finish and no additional actions will be executed.<\/p>\r\n<p>If not <strong>(False),<\/strong> Calendar events will be transferred, the user will be signed out, Mobile devices wiped, and app tokens revoked.<\/p>\r\n<p><em><strong>Note:<\/strong> A<\/em><em style=\"font-size: 16px; font-weight: 400;\">s this is an\u00a0<strong style=\"font-size: 16px;\">Offboarding<\/strong>\u00a0workflow<\/em><em style=\"font-size: 16px;\">, the user will be deleted regardless, which deletes the user at the <strong>&#8216;Finish&#8217;
