<\/strong><\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Data Leak &#8211; Files placed into a shared-in folder are immediately exposed to an external party.<\/li>\r\n<li>Identify the type of organizations collaborating with your business.<\/li>\r\n<li>Reach out to the external organization and let them know that their users are sharing files with members of your organization.<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">&#8216;First seen in GAT+&#8217;<\/h4>\r\n\r\n\r\n\r\n<p>In the GAT+, Files tab, we provide the following Search Operators, when defining your custom filter to query the metadata across your organization.<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li><strong>First seen in GAT+<\/strong><\/li>\r\n<li><strong>First seen in GAT+ (relative)\u00a0<\/strong><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p>These Search Operators combined with another like the\u00a0<strong>Sharing Flag <\/strong><em>contains<\/em><strong> Shared-in\u00a0<\/strong>can tell\u00a0<strong>when<\/strong>\u00a0(time &amp; date) the file was first recognized by GAT+.<\/p>\r\n\r\n\r\n\r\n<p><strong>Note<\/strong>: &#8216;First seen in GAT+&#8217; is a Search Operator unique within GAT+, Google API does not keep track of Shared-in files so GATLabs has developed unique code to identify these files.<\/p>\r\n\r\n\r\n\r\n<figure class=\"wp-block-image size-large is-style-twentytwentyone-border\"><\/figure>\r\n<p><img decoding=\"async\" class=\"alignnone size-full wp-image-5338\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window.png\" alt=\"\" width=\"1746\" height=\"949\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window.png 1746w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window-300x163.png 300w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window-1024x557.png 1024w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window-768x417.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/2022-10-19-13_44_54-Window-1536x835.png 1536w\" sizes=\"(max-width: 1746px) 100vw, 1746px\" \/><\/p>\r\n\r\n\r\n\r\n<p><strong>The outcome of the above Custom filter<\/strong><\/p>\r\n\r\n\r\n\r\n<p>This will show you all the files that were:<\/p>\r\n<ul>\r\n<li><strong>\u201cShared in\u201d to your Google Workspace domain in the last 30 days.<\/strong><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<p class=\"wp-block-image is-style-twentytwentyone-border\"><img decoding=\"async\" src=\"https:\/\/gatlabs.com\/wp-content\/uploads\/2021\/06\/screenshot-uk.generalaudittool.com-2021.06.02-17_01_58-1.png\" alt=\"GAT+ | Identify Shared-in Google Drive Files from External users 2\" \/><\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">Creating a scheduled report to find recently shared-in files<\/h3>\r\n\r\n\r\n\r\n<p>Using the same custom filter and same Search Operators, we can schedule our filter to create daily, weekly, or monthly generated spreadsheets.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-image size-large is-style-twentytwentyone-border\"><img decoding=\"async\" width=\"1024\" height=\"852\" class=\"wp-image-440\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/screenshot-gs.generalaudittool.com-2021.11.16-19_32_06-1024x852.png\" alt=\"\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/screenshot-gs.generalaudittool.com-2021.11.16-19_32_06-1024x852.png 1024w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/screenshot-gs.generalaudittool.com-2021.11.16-19_32_06-300x250.png 300w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/screenshot-gs.generalaudittool.com-2021.11.16-19_32_06-768x639.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2021\/11\/screenshot-gs.generalaudittool.com-2021.11.16-19_32_06.png 1129w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\r\n\r\n\r\n\r\n<p>This scheduled report will produce a Google Spreadsheet of the most recently shared-in files over the last month.<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">Summary<\/h3>\r\n<p>As a result of the filer and report you will see:<\/p>\r\n\r\n\r\n\r\n<ul>\r\n<li>On a scheduled occurrence (daily, weekly or monthly), a new report will be generated.<\/li>\r\n<li>The Google Sheet will contain all the newly discovered Shared files for the previous X days\r\n\r\n<\/li>\r\n<li>Below you will see the Owner (is external) \u2013 meaning it\u2019s Shared In.
