Change Ownership of an Entire Folder Tree on Google Drive<\/h2>\r\n\r\n\r\n\r\n

In the\u00a0Google Driv<\/strong>e audit in GAT+, you can use the features of\u00a0File Management<\/strong>\u00a0to\u00a0change ownership of an entire folder tree using the recursive option<\/strong>.<\/p>\r\n\r\n\r\n\r\n

You may want to change ownership of a root folder such as a drive or other folders within a user\u2019s account.<\/p>\r\n\r\n\r\n\r\n

Important: The transfer will work on both Active and Suspended accounts. <\/strong><\/p>\r\n\r\n\r\n\r\n\r\n\r\n

Follow These Steps in\u00a0Drive Audit<\/strong><\/h3>\r\n\r\n\r\n\r\n

Navigate to\u00a0<\/strong>the GAT+ \u2192 Drive \u2192 Files tab<\/strong><\/p>\r\n\r\n\r\n\r\n

Click on the\u00a0Apply custom filter<\/strong>\u00a0button<\/p>\r\n\r\n\r\n\r\n

Apply filters<\/h3>\r\n\r\n\r\n\r\n

Now select the following parameters. Apply any filter to find the Folder needed.<\/p>\r\n\r\n\r\n\r\n

For example by\u00a0Folder Title<\/strong>\u00a0or\u00a0FolderID\u00a0<\/strong>or any filter where you can find the Folder needed<\/p>\r\n\r\n\r\n\r\n

This filter is as follows<\/p>\r\n\r\n\r\n\r\n

  • Owner = user X<\/strong><\/li>\r\n
  • Title = Sales\u00a0<\/strong><\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

    Note<\/strong>: There are multiple ways to find the folder needed, the above is just one way<\/p>\r\n\r\n\r\n\r\n

    Action on the file<\/h3>\r\n\r\n\r\n\r\n

    When the filter is applied the result will be displayed.<\/p>\r\n\r\n\r\n\r\n

    When the Folder is found click on the (arrow-button) beside the Title.\u00a0<\/strong><\/p>\r\n\r\n\r\n\r\n

    A pop-up menu will be displayed.<\/p>\r\n\r\n\r\n\r\n

    Select the option \u201cApply permission change to this folder (recursive)<\/strong>\u201c.<\/p>\r\n\r\n\r\n\r\n

    A new pop-up window called\u00a0File management<\/strong>\u00a0will be displayed.<\/p>\r\n\r\n\r\n\r\n

    In the window, there are a few tabs available.<\/p>\r\n\r\n\r\n\r\n

      \r\n
    • General<\/strong>\u00a0\u2013\u00a0change ownership<\/strong><\/li>\r\n
    • Add<\/strong> \u2013 add users (permissions to the Folder)<\/li>\r\n
    • Remove<\/strong> \u2013 remove users (permissions from the Folder)<\/li>\r\n
    • Replace <\/strong>\u2013 replace users (permissions to the Folder)<\/li>\r\n
    • Summary<\/strong> \u2013 view all the actions selected<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

      Note: <\/strong>Request actions for selected 1 File(s): Change will be applied to all files inside the folder and its subfolders (including parent folder)<\/p>\r\n\r\n\r\n\r\n

      This means the top folder and its subfolders and files will be affected<\/strong> by the change, a recursive change down the Folder tree<\/p>\r\n\r\n\r\n\r\n

      General <\/strong>– select the\u00a0User to whom you want to change ownership to<\/strong><\/p>\r\n\r\n\r\n\r\n

        \r\n
      • Change selected file\u2019s owner to<\/strong>\u00a0\u2013 enter the new owner\r\n
          \r\n
        • In Google Drive, each file can have only one parent folder. By default when changing ownership to a new owner MyDrive\u00a0a shortcut<\/strong>\u00a0is created to the original file (this preserves permissions inherited from the folder where the file was placed).<\/li>\r\n<\/ul>\r\n<\/li>\r\n
        • Move file<\/strong>\u00a0\u2013 By choosing this option you are requesting to\u00a0move files directly<\/strong>\u00a0to the new owner MyDrive (note: inherited permissions can be lost in the process).\r\n
            \r\n
          • Warning:<\/strong>\u00a0If the file has multiple parents they will be reduced to one. This change\u00a0cannot be reverted.<\/strong><\/li>\r\n<\/ul>\r\n<\/li>\r\n
          • Deny access to the old owner \u2013 By default when ownership is changed, the previous owner is added as an additional contributor<\/li>\r\n
          • Untrash file \u2013 If any files are in the Bin folder, they will be restored and taken out of the trash during the ownership transfer<\/li>\r\n
          • Custom path<\/strong>\u00a0\u2013 (enable or disable) enter the custom path where the Folder will be located in the new owners\u2019 Drive.\r\n
              \r\n
            • Without ancestry path (FM_requestId\/From email@domain.ltd\/\u2026)<\/li>\r\n
            • The custom folder path for the files to be placed in, enter the folder name followed by the forward-slash (\/), for example, folderX\/<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

              Security Officer<\/h3>\r\n\r\n\r\n\r\n

              Click on the \u201cNext<\/strong>\u201d button for the approval of the Security Officer.<\/p>\r\n\r\n\r\n\r\n

              The Security Officer will receive an email for approval of the request.<\/p>\r\n\r\n\r\n\r\n

              This will lead the Security officer to\u00a0Security Officer \u2192 File management<\/strong>\u00a0where the Officer can approve or deny the change.<\/p>\r\n\r\n\r\n\r\n

              When the Change ownership is approved, the change will happen.<\/p>\r\n\r\n\r\n\r\n

                \r\n
              • Change ownership \u2013<\/strong>\u00a0of the Folder and its subfolders to another user of the domain<\/li>\r\n
              • Move file<\/strong>\u00a0\u2013 moving the file directly to MyDrive of the new owner<\/li>\r\n
              • Custom path<\/strong>\u00a0\u2013 place under FolderX folder within the MyDrive of the new owner\r\n
                  \r\n
                • Without ancestor path enabled\u00a0<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n

                  The Folder and its subfolders will be changed and have a new owner inside the domain.<\/p>\r\n\r\n\r\n\r\n

                  The Folder is in\u00a0MyDrive of the new owner<\/strong>, under the custom path (FolderX<\/strong>), and the folder itself is called \u201cSales<\/strong>\u201c.<\/p>\r\n\r\n\r\n\r\n

                  The content of the Folder and its sub-folders is changed to the new owner.<\/p>\r\n\r\n\r\n\r\n

                  Admin log<\/h4>\r\n\r\n\r\n\r\n

                  Every action done by the Admins is kept under the Admin Log. This is an immutable log where all actions are kept for audit.<\/p>\r\n\r\n\r\n\r\n

                  Revert changes\u00a0<\/h4>\r\n\r\n\r\n\r\n

                  The logs can be audited and see what changes have been applied. In the preview of the changes, you can also scroll down to the bottom and click on revert the changes by clicking on the \u201cRevert changes<\/strong>\u201d button.<\/p>\r\n\r\n\r\n\r\n
