You may need to run this type of workflow when you have a user who leaves your organization.<\/p>\n<h2>Step 1<\/h2>\n<p>First, in GAT Flow, select <strong>Create Workflow<\/strong>\u00a0and switch the<strong> &#8216;Include suspended users&#8217;<\/strong> slider to the <strong>&#8216;on&#8217;<\/strong> position.<\/p>\n<p>We will use <strong>&#8216;Offboarding&#8217;<\/strong> for this type, as that will eventually delete the user.<\/p>\n<p>Later, click <strong>&#8216;Next&#8217;<\/strong> to continue.<\/p>\n<p><img fetchpriority=\"high\" decoding=\"async\" class=\"alignnone wp-image-5739 size-full\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-42.png\" alt=\"Step 1. Choosing &quot;Suspend user&quot; action\" width=\"520\" height=\"293\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-47.png 1797w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-47-300x169.png 300w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-47-1024x577.png 1024w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-47-768x433.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-47-1536x865.png 1536w\" sizes=\"(max-width: 520px) 100vw, 520px\" \/><\/p>\n<p>If you have other actions you would like to perform, you can select them on this screen.<\/p>\n<p>Some common actions during offboarding are <a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/gat-flow-revoke-all-apps-for-google-workspace-user\/\" target=\"_blank\" rel=\"noopener\">revoking app tokens<\/a>, <a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/wipe-data-from-users-calendars-with-gat-flow\/\" target=\"_blank\" rel=\"noopener\">wiping the calendar<\/a>, and <a href=\"https:\/\/gatlabs.com\/knowledge\/tech-tips\/how-to-migrate-bulk-emails-in-google-workspace-2\/\" target=\"_blank\" rel=\"noopener\">migrating emails<\/a>.<\/p>\n<p>After you have finished, click the <strong>&#8216;+&#8217;<\/strong> <strong>button<\/strong> again and select the<strong> &#8216;Delay&#8217;<\/strong> action.<\/p>\n<p>Here we will set the length of time you want to suspend the account. In this example, we will use 6 months.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5753 size-full\" src=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45.png\" alt=\"Step 3. Setting &quot;Delay workflow&quot; action\" width=\"1911\" height=\"1203\" srcset=\"https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45.png 1911w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45-300x189.png 300w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45-1024x645.png 1024w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45-768x483.png 768w, https:\/\/gatlabs.com\/knowledge\/wp-content\/uploads\/2022\/11\/GAT-Flow-45-1536x967.png 1536w\" sizes=\"(max-width: 1911px) 100vw, 1911px\" \/><\/p>\n<p>When you are finished, click <strong>&#8216;Send approval request&#8217;.<\/strong><\/p>\n<p><em><strong>Note:<\/strong> In GAT Flow, there is no action to delete a user&#8217;s account, but as we selected the<strong>\u00a0&#8216;Offboarding&#8217;<\/strong> workflow earlier, the user will be automatically deleted, when the workflow ends.<\/em><\/p>\n<h2>Step 4<\/h2>\n<p>Sent the request to the security officer for approval.<\/p>\n<p>Once the security officer approves this request, the workflow will start and suspend the user. It will also run any other actions you have asked it to do when they are set <strong>before<\/strong> the delay.<\/p>\n<p>As a result, your user will be suspended and can be unsuspended at any time in the next 6 months if necessary.<\/p>\n<p><strong>At the end of th<\/strong><strong>e 6 months, the account will be permanently deleted<\/strong>, without having to take any other actions.<\/p>\n<h2>Saving the workflow for reuse<\/h2>\n<p>If this is a process that you regularly do at your organization, you can always <strong>save it as an action set<\/strong>, to run the workflow faster next time.<\/p>\n<p>To do this, click the <strong>&#8216;Workflow&#8217;<\/strong> button in the GAT Flow menu on the left-hand side to view your previous workflows.
