A Step-by-Step Guide to Creating a Google Vault Export<\/h3>\n

GAT Flow<\/strong><\/a> helps Google Workspace<\/a> Admins<\/strong> with many tasks and responsibilities as it is an ‘all in one<\/strong> solution for managing the Google Workspace domain. The admins can set up many automated actions to be taken on one or bulk users at once.<\/p>\n

GAT Flow<\/strong> allows managing Google Vault<\/a> users with the below actions:<\/p>\n

  1. Setting Google Vault users on hold<\/a><\/li>\n
  2. Removing users from Google Vault hold\u00a0<\/a><\/li>\n
  3. Creating Google Vault export<\/strong><\/li>\n<\/ol>\n

    In this post, we’ll outline the process of creating a Google Vault export.<\/strong><\/p>\n

    Select action<\/h2>\n

    The action\u00a0Create Google Vault export<\/strong>\u00a0can be performed either on a one-off regular workflow (Create workflow<\/strong>),\u00a0\u00a0Event workflow<\/a>, or\u00a0Recurring workflow<\/a>.<\/p>\n

    To create a workflow that creates user(s) Google Vault export, add the relevant action into it by clicking on the \u2018Add action\u2019 + button (left side of the graph).<\/p>\n

    The available actions will be displayed by default.<\/p>\n

    Search and select\u00a0Remove user from hold<\/strong>\u00a0action.<\/p>\n

    When the action is selected fill in the required details.<\/p>\n

    1. Matter <\/strong>– Select the name of the existing Google Vault Matter that the export will refer to;<\/li>\n
    2. Export name <\/strong>– Type the name of this export that will be displayed in Google Vault under the particular Matter’s export tab;<\/li>\n
    3. Service <\/strong>– Choose the relevant service from the pop-up list:\n

      1. Drive<\/strong><\/li>\n
      2. Mail<\/strong><\/li>\n
      3. Hangout chat<\/strong><\/li>\n<\/ol>\n<\/li>\n
      4. Export format<\/strong> – if Mail service is selected, choose the export format from:\n
          \n
        1. MBOX<\/strong><\/li>\n
        2. PST<\/strong><\/li>\n<\/ol>\n<\/li>\n
        3. Data scope<\/strong>\n
            \n
          1. All data<\/strong><\/li>\n
          2. Held data<\/strong><\/li>\n
          3. Unprocessed data<\/strong><\/li>\n<\/ol>\n<\/li>\n
          4. Time zone <\/strong>– Select the time zone<\/li>\n
          5. All \/ Date range \/ Days back <\/strong>– define from which time period the data should be exported (select the date range or the number of days back from which data should be exported if not All selected);<\/li>\n
          6. Terms <\/strong>– Enter a particular term for exporting data;<\/li>\n
          7. Depending on the Service type selected:\n

            1. If Drive<\/strong><\/em> service is selected, the option to Include shared drives<\/strong> can be toggled<\/li>\n
            2. If Mail<\/strong><\/em> service is selected, additional options can be toggled:\n

              1. Exclude email drafts<\/strong><\/li>\n
              2. Export linked drive files<\/strong><\/li>\n<\/ol>\n<\/li>\n
              3. If the Hangout chat<\/strong> service is selected, the option to Include messages from the chat space<\/strong> can be toggled<\/li>\n<\/ol>\n<\/li>\n
              4. When the workflow is ready click on Send approval request<\/strong>.<\/li>\n<\/ol>\n

                Upload export results to shared drive<\/h3>\n

                GAT Flow allows to upload of exported Vault data to Shared Drive to retain them. If you wish to upload the export to a shared drive, please follow these steps first.<\/a><\/p>\n

                How retention works in Google<\/a><\/p>\n

                Even when a retention rule is set to purge data, the background process that removes permanently deleted or expired data from Google systems keeps data available to Vault for\u00a0approximately 30 days before it is fully purged<\/strong>.<\/p>\n<\/div>\n
