How To Modify Email Signature to Google Workspace Users in Bulk
Getting Started
Modify and change the email signature to all users in your Workspace domain.
With GAT Flow, you can edit and set up a new email signature to a group of users in a bulk.
Open GAT+ and under Configuration select Flow
Create Workflow Type
On the left-hand side click on ‘Create workflow’
Under ‘Workflow type’
Add a name for it and select the type to ‘Modify’
Click on the Next button to proceed.
Search For A User
In ‘Search for a user’, pick an option to find an individual user or a group. In this case, we will search for a user.
You can add individual users one by one or in a bulk via groups ( additional users can be removed from within)
When the users are selected click on ‘Proceed to action’
Choose Actions
Find and click on the ‘Set email signature’ option.
A list of variables you can use in your email signatures are:
- User full name {{ name }}
- User first name {{ firstName }}
- User last name {{ lastName }}
- User email {{ email }}
- Job title {{ jobTitle }}
- Department {{ jobDepartment }}
- Job description {{ jobDescription }}
- Cost center {{ jobCostCenter }}
- Work address {{ workAddress }}
- Work phone {{ workPhone }}
- Mobile phone {{ mobilePhone }}
- Manager {{ manager }}
- {% if mobilePhone %} {{ mobilePhone }} {% endif %} – If mobile phone number is not available placeholder will not be shown.
- {{ name | upcase }} – eg. John Smith = JOHN SMITH
- {{ name | downcase }} – eg. John Smith = john smith
- {{ name | downcase | capitalize }} = eg. John Smith = John smith
Select Switch to HTML editor to turn that on and enter the HTML code. You can copy and paste prepared HTML code for signature.
Above the code, a view of the HTML output will be displayed.
You can also select ‘Pick a template’ and a list will be displayed
Select any of the options, and click Next.
Fill in the details.
Add ‘company image’ by URL, or ‘Upload image’, set ‘company color’, add Social media links. Set and leave the bottom text as the ending of the signature.
Click on Next to proceed.
Click on ‘Finish’ and an overview of the HTML code and preview of how the Email signature will look like will be displayed.
Click on ‘Send approval request’ and confirm.
Results
An email will be sent to the Security Officer for approval.
Note: If there is a pre-approval set, you can approve it right away and the action will take effect.
This will lead them to the Workflow summary where it can be approved or denied
The progress of the request can be seen in the ‘Workflow’.
When the request is approved the ‘Status’ will be ‘Approved’.
Click on the eye icon to see more details.
You can save as the action set or edit and re-request workflow.
The new email signature will be set for all the users.
