Google administrators can use GAT Flow to assign bulk delegation by selecting individual Group members and giving them access to another user’s mailbox OR, conversely, grant delegation to their accounts to another user.
Create Workflow and Select Group Members #
Workflow type #
In the Workflow fill in the details for the workflow. You can set it up also as an Event workflow or Recurring workflow.
- Name – enter the name of the workflow (2)
- Description – enter a description for the workflow (optional)
- Type – select what workflow type you would like to run
- Modify – modify existing users (3)
- Include suspended users – enable or disable to allow you to select users who are currently suspended:
- If enabled – you will be able to select even users who are suspended
- If disabled – you will be able to select only users who are active
- Run immediately after approval – provides an option to schedule the workflow to run in a selected future time (optional)
Later click Next (4) to proceed.

In the Search for a User (1) section, select the Group (2) that you want to delegate to/from. Once you’ve confirmed you have the correct users (3) you can click Next (4).

Delegate To/From Action: #
In the Choose actions click on the (+) button (1) and then click the Add action button (2)

Afterwards, search and add the action Email > Set email delegation (1) then double click the Set email delegation action node (2).

You can select the Delegate Type, Delegate To/From and if you wish a Temporary delegation.

NOTE: You can now select the Google Group with a collaborative inbox in the Google Workspace domain to set the Delegation ‘To’ that Group members, but the special setup needs to be configured by Google Administrator in the Admin console first.

Security Officer approval #
The Security Officer must approve the workflow. After the approval, the email delegation action To or From individual group members will be configured.
